Frequently Asked Questions

Everything visitors most often ask about booking, paying for, and flying with Reece Executive Charter. Can't find it here? Ask us directly.

Booking & Quotes

How do I get a quote?

Use the instant quote tool on our Charter Fleet page or homepage - enter your route, dates, and passenger count and you'll see live-priced aircraft options in seconds. For multi-leg or unusual itineraries, contact us directly and a member of our team will build the trip by hand.

How far in advance should I book?

We can arrange charter on short notice - sometimes within a few hours, subject to aircraft and crew availability. That said, booking a week or more ahead gives you the widest choice of aircraft and the best pricing, especially around peak travel dates and holidays.

Can I request a specific aircraft?

Yes. If you have a preferred manufacturer, model, or even a specific tail number you've flown before, tell us at the time of your request and we'll check its availability for your dates and route first, before opening up other options.

What information do you need to quote a trip?

At minimum: departure and arrival airports (or cities), your travel dates, and passenger count. Helpful extras - luggage, pets, catering preferences, ground transport needs - let us shortlist aircraft and finalize pricing faster the first time, rather than needing a follow-up.

Payments & Pricing

What is included in the quoted price?

Every quote is broken into its actual cost components - flight time, crew, and any positioning or stopover fees - so you can see what you're paying for rather than a single opaque number. Standard catering and typical ground handling at each airport are included unless a quote notes otherwise.

What payment methods do you accept?

Bank wire transfer is standard for charter bookings; card payment is available for smaller balances on request. Full payment terms and accepted methods are confirmed in writing at the time of booking, before your card or account is ever charged.

Are there additional fees I should expect?

Occasionally - de-icing, overnight crew accommodation if the aircraft stays away from base, or international handling fees at less common airports are the most common examples. Any fee that wasn't in your original quote is disclosed and confirmed with you before it's charged, never added after the fact.

Do prices change after I have paid?

No - once a booking is confirmed and paid, the price is locked for the itinerary as booked. Prices only change if you change the trip itself (different date, route, aircraft, or passenger count), and any adjustment is always confirmed with you first.

Cancellations & Changes

What is your cancellation policy?

Cancellation terms - how much notice is required, and what (if anything) is refundable - are set per booking and confirmed in writing before you pay, since they depend on the specific operator, aircraft, and how close to departure the cancellation happens. Full details are always in your booking confirmation; see our Terms & Conditions for the general framework.

Do cancellation rules vary by country?

Yes, meaningfully. The operator's country of registration, the aviation authority overseeing that operator (for example KCAA, FAA, or EASA), and local consumer-protection law can all affect what notice period applies and what is refundable. We flag anything unusual about a specific operator's terms before you commit, rather than leaving you to discover it later.

Can I change my flight after booking?

In most cases, yes - date, time, and even aircraft changes can often be accommodated, subject to availability and any cost difference. Tell us as early as possible; the closer to departure a change request comes in, the more limited (and potentially costly) the options become.

What happens if the operator cancels?

On the rare occasion an operator cancels or an aircraft becomes unavailable (a mechanical issue, for instance), we work immediately to source a suitable replacement aircraft for your original schedule. If no acceptable replacement can be found in time, you are not charged for that leg.

Safety & Aircraft

How do you vet operators and aircraft?

We only place flights with operators holding a valid commercial air operator's certificate for their aircraft, and we check maintenance records, crew qualifications, and incident history before an operator is ever added to our network. Where available, we also weight operators that meet IS-BAO, ARGUS, or Wyvern safety benchmarks.

Are your charter partners insured?

Yes - every operator we work with carries commercial aviation liability insurance appropriate to their aircraft and operation, as required to hold their operating certificate in the first place. We can share an operator's certificate and insurance summary on request before you fly.

What happens if my originally quoted aircraft becomes unavailable?

We'll offer the closest available match at the same or better spec, at no extra cost to you, and confirm it with you before making any change. You're never simply switched to a different aircraft without being told.

International Travel & Documentation

What documents do I need for international charter?

A valid passport (with the validity window your destination requires - commonly six months beyond your travel dates) is the baseline for every international passenger. Specific visa, health, or customs-declaration requirements depend entirely on your destination and nationality - we'll flag anything relevant to your itinerary when you book.

Do you handle customs and immigration?

We coordinate ground handling and, where the airport supports it, arrange for customs and immigration to clear you and your party directly at the FBO rather than a commercial terminal. You are still responsible for holding the correct personal travel documents - we can advise, but can't issue or guarantee visas on your behalf.

Are there restrictions on what I can bring onboard?

Private charter is generally far less restrictive than commercial travel, but international and cross-border rules on currency, firearms, controlled substances, and certain foods or plant/animal products still apply and vary by country. For live animals, temperature-sensitive goods, or medical shipments specifically, see our Specialized & Sensitive Deliveries service.

Do I need a visa for my destination?

Possibly - visa requirements depend on your nationality, passport, and destination country, and are set entirely by that country's government, not by us or the operator. Confirm requirements with the destination's embassy or consulate well ahead of travel; we're happy to flag anything we're aware of for your specific route.
